Getting started quickly

With the click of a few buttons, your Xero account will be connected and your Blue Bean dashboard will be live.

  • Step 1 - Create a Blue Bean account by signing up here: Sign up
  • Step 2 - Select your account subscription that best meets your needs
  • Step 3 - Connect your Xero account to Blue Bean
  • Step 4 - Check your account mappings
  • Step 5 - Chill

How it works

Blue Bean connects your Xero account and accesses data from your profit and loss, balance sheet and invoices. This data is synchronised daily with a one-way retrieval from Xero to Blue Bean.

I forgot my password

On the login page there's a handy link called 'forgot password' which takes you here

Click that and it's ask you you for the email connected to Blue Bean. Enter that, hit Submit and you'll get an email in your inbox with a Password Reset.

If that doesn't work out, contact us at support

I can't sign in to my account

To access Blue Bean need three pieces of information:

  • Company Code
  • User name
  • Password

If you can’t recall your username or company code there’s a handy link called ‘forgot your login details?’ which takes you here

Click that and it’s ask you you for the email connected to Blue Bean. Enter that, hit Submit and you’ll get an email in your inbox with your account details.

My password reset link isn't working

If you’ve requested a password reset but find the link isn’t working for you then it’s possibly because the link has expired.

All password resets have a 24 hour life to help prevent from any nasty fellas trying to access your data.

Please try the Password Reset again and see how you go.

I want to update my account settings

That’s a great idea!

When you log into Blue Bean, you will see an avatar image in the top right hand corner.

Click on that to see the menu

Click "My Settings" to view your details.

Edit these and click Save when you're finished

I was notified my account information changed

If you received a message that the information on your Blue Bean account changed, but you did not make these changes, someone may have access to your account.

If you are able to sign in to your Blue Bean account:

  • 1. Select "Settings" in the app menu
  • 2. Confirm your information is accurate

We recommend changing your password as a precaution.

  • When you log into Blue Bean, you will see an avatar image in the top right hand corner.
  • Click on that to see the menu
  • Click "Change password".

If you are unable to sign in to your account, please let us know.

Users and access

I want to add more users

You can add as many users as you want to your Blue Bean account. The only thing you need is an Admin account.

When you log into Blue Bean, you will see an avatar image in the top right hand corner.

Click on that to see the menu and then click “Organisation Admin” to open up a sub menu.

Click "Users" and you'll be redirected to the User Management screen where you can add a new users.

Ensure you complete these fields:

  • Name
  • Surname
  • Email Address
  • Username

Checking "Set random password" as well as "Send activation email" will guarantee a rock solid password will be assigned to the account and the new user will be automatically sent a welcome email with how to log in.

I want to delete a user

You can easily delete a users from your Blue Bean account. The only thing you need to do so is an Admin account.

When you log into Blue Bean, you will see an avatar image in the top right hand corner.

Click on that to see the menu and then click “Organisation Admin ” to open up a sub menu.

Click “Users” and you’ll be redirected to the User Management screen where you can delete the users.

I want to reset a user’s password

To manage users, the only thing you need to do so is an Admin account.

When you log into Blue Bean, you will see an avatar image in the top right hand corner.

Click on that to see the menu and then click “Organisation Admin” to open up a sub menu.

Click “Users” and you’ll be redirected to the User Management screen where you can updated users.

Click “Action” next to the user and then click “Edit”

Leaving all other details unchanged check “Set random password” as well as “Send activation email” then click “Save”.

This will guarantee a rock solid password will be assigned to the account and the user will be automatically sent a welcome email with how to log in.

I want to manage users

You can add as many users as you want to your Blue Bean account. The only thing you need to do so is an Admin account.

Leaving all other details unchanged check “Set random password”

Not all users will have an Admin account so make sure that either you are the Admin or you know who the Admin is.

When you log into Blue Bean, you will see an avatar image in the top right hand corner.

Click on that to see the menu and then click “Organisation Admin ” to open up a sub menu.

Click “Users” and you’ll be redirected to the User Management screen where you can add, delete or updated all of your users.

These are the actions you can perform on this screen:

  • Add a User
  • Delete a User (note you can’t delete yourself or the primary Admin account)
  • Update a User’s details
  • Change or reset a User’s password
  • Disable/Enable a User
  • Change the permissions of a User
  • Resend a User’s activation email

Payment and billing

I want to update a payment method on my account

To manage Subscriptions, the only thing you need to do so is an Admin account.

When you log into Blue Bean, you will see an avatar image in the top right hand corner.

Click on that to see the menu and then click “Organisation Admin ” to open up a sub menu.

Click “Subscriptions” and you’ll be redirected to the Subscriptions Management screen where you can updated your subscription.

The process is simple.

  1. Cancel the current subscription
  2. Select a new subscription

Don’t worry, you won’t be charged twice for the same month as we calculate based on what you’ve paid so fair.

Connecting to Xero

How do I connect my Xero account?

Once you’ve logged in you’ll see a Connect icon on the left hand menu.

Connect

Click this and you’ll be taken to the Connection page.

Once there, click the Xero button and you’ll be asked to log into Xero

Note: This will redirect you away from Blue Bean but only for a few seconds.

Once your account connection is established you’ll be asked to Connect. Click the big blue button and Blue Bean will go off and grab all your data.

Once connected you data will update automatically.

How do I map my Xero accounts to Blue Bean?

Once you’ve logged in you’ll see a Connect icon on the left hand menu.

Click this and you’ll be taken to the Connection page.

Once there, click the “Adjust Accounts Mapping” button

The accounts mapping page is where you match your Xero accounts to the Blue Bean standard accounts.

Many of the Blue Bean accounts are standard names that most Xero accounts have.

Some accounts, like expenses, Cost of Goods Sold or wages can have different names. Use this screen to match up all of your accounts to the most appropriate Blue Bean account.

How do I disconnect my Xero account?

Once you’ve logged in you’ll see a Connect icon on the left hand menu.

Connect

Click this and you’ll be taken to the Connection page.

Once there, click the red button and you’ll be asked to confirm.

Once confirmed, Blue Bean will remove all of your organisations data.

How does Blue Bean work?

How do I create a Blue Bean account?

Head to bluebean.io and click the “Sign up” button.

Follow the prompts and you’ll be up and running in a few minutes.
